How to Successfully Implement Sugester. #3 Time for More Modules

Once you have set up your customer database and configured your email, you can start thinking about additional modules. Do not limit yourself to the basics, but also do not activate everything at once. Enable modules one by one, as you need them.

Start working with tasks

As a first step, you can extend your use of Sugester with the task management module. Regardless of your company’s profile, reminders about scheduled meetings, report preparation, or invoice issuance are useful for everyone.

This solution supports not only internal team work - where employees pass tasks between each other and set priorities - but also helps individuals manage their own responsibilities more effectively.

Adding a task like "Call the customer" to the system is enough for Sugester to automatically remind you at the scheduled time. You do not need to memorize your entire schedule because the system will handle it for you.

Later in your implementation, you can consider automating some of these tasks - but more on that in future articles.

Here is a list of features worth using when you first start working with tasks:

  • Set up recurring tasks. If you have regular duties - for example a weekly team meeting or a monthly sales report - create a recurring task that will appear in the system automatically. This eliminates the need for extra task management apps, sticky notes on the monitor, and most importantly, the stress of forgetting something.

  • Use tags for tasks, create custom fields and templates. From the very start, make task tagging a habit. Tags make it easier to monitor which topics appear most frequently or which take the most time to resolve. Also create custom fields for tasks to accommodate information specific to your industry, such as a product or service code. Once everyone is comfortable with tasks, you can expand to working with Sprints, which we especially recommend for project teams.

  • Fill in the "Customer" field when creating a task for a specific customer. This means a task like "Contact the customer after 5 PM" or "Check the modem functionality" is saved on the card of that specific customer. This ensures that every employee - even those not involved in the resolution - can check when and what was requested for a given customer and at what stage the task is. It promotes a smooth flow of information both within the team and with the customer.

  • Link a task to a customer email. If additional steps are needed before a reply can be sent to the customer - for example, consulting a manager about a discount - you can quickly create a task linked to that specific email. There is no need to copy the email content into the task; a brief comment like "customer requesting a discount, details in email" is enough. The manager who receives the task can write their response directly in the task.

  • Start using time tracking. This feature is particularly useful for project teams, IT departments, and customer support teams. Logged time, linked to a customer and a specific project (if applicable), is available in the timesheet report. This report can serve as the basis for billing completed work, both with employees and with clients.

Create a form and add it to your website

Another thing worth implementing in the early stages of your CRM rollout is the forms module. The module is very flexible. Using freely chosen fields, you can create a form for use as a contact form on your website, a satisfaction survey, or an internal form for submitting product development suggestions.

We especially recommend creating forms and embedding them on your website. They do not have to be just contact forms - they can be bug report forms, event or training sign-up forms, or newsletter subscription forms. Each of these can be a source of new customer acquisition, as the right configuration in Sugester results in new records being created in the customer database when a potential customer fills out the form.

Here is what you should know when activating the Forms module:

  • You can add any number of forms to your website. Using CSS styles, you can tailor each form to match your company’s visual identity. Adding a form only takes a moment - just paste the script generated in Sugester onto your website.

  • Collect potential contacts that will be automatically added to your customer database when the form is submitted on your site. You can then call those potential customers or include them in an email campaign promoting a specific service.

  • Your existing customers can also use the forms. If you need to provide customers with a place to report issues with a service or product, a form on your website is a great solution. With the right configuration, the data submitted by a customer in the form can be automatically converted into a task by the system, significantly cutting down on resolution time.

  • Using forms, you can run customer satisfaction surveys. Simply create a survey and send it out to your customers.

  • Form results are available in Sugester as a convenient table. You can monitor customer responses and draw conclusions at any time.
  • Forms can help with customer conversion tracking. After a form is submitted, you can redirect to a thank-you page on your website where you paste the Google Ads conversion code. In the same way, you can also measure form traffic using Google Analytics codes.

Once you have implemented the two modules above, check which of the remaining ones can further support your company’s activities. You have the following at your disposal:

  • Chat - integrated with the CRM module. Links to individual conversations with a customer are available on that customer’s card. It is another channel for customer contact and often a source of new sales opportunities.

  • VoIP - virtual call handling. No additional hardware or complex setup required. Simply transfer your company number to the Telecube.pl service provider and activate the Telecube integration in your Sugester account. All calls can be tagged with a tag or note, and they are also saved on the customer’s card.

  • Mass mailing - a module included in your subscription that effectively supports your company’s marketing efforts. At no extra cost, you can create dynamic recipient lists and send personalized email campaigns.

  • Knowledge base - used to maintain company knowledge bases containing operational guidelines, product/service descriptions, and documented procedures. A great example is our own knowledge base available at pomoc.sugester.pl.

  • Reports - a module for tracking and analyzing data contained in Sugester.

  • Forum - an active forum lets you gather feedback and suggestions about the development of your products. A widget that is easy to embed on any page lets you communicate with customers and learn their opinions about your product.

  • Invoice handling via InvoiceOcean.pl integration - thanks to the Sugester integration with InvoiceOcean.pl, you can jump from the CRM to issue an invoice with a single click. You can also check at any time when an invoice was paid, for what amount, or how late the customer is in paying it.

We hope these few simple tips will help you get acquainted with the system step by step and introduce only those features that will genuinely improve processes in your company. Once you have activated the modules you need and configured the key features, the next stage awaits - activating features that will enhance the security of your data. But that is covered in the next article.
